Role / Duties: General administration work including:
  • To prepare correspondence and documents using audio typing and word processing.
  • To administer filing systems which will include daily filing and the opening, closing, storage and retrievl of client files in accordance with the detailed procedures contained in the office manual and current office policies.
  • To prepare mail and enclosures for despatch.
  • To arrange for all photocopying to be done.
  • To provide refreshments when asked to do so for clients.
  • To provide support to other secretaries as required.
  • To attend clients both in person and on the telephone and to provide such communication in a professional and friendly manner in keeping with the practice's standards for client care. 
  • Take telephone messages and ensure they reach the correct recipient.
  • Assist with reception duties including dealing with client's enquiries.
  • To undertake any specific training when required to do so and take responsibility for own self-development.
  • To ensure confidentiality of all practice and client documentation and information.
  • To promote the practice when and where possible.
  • To maintain professional standards at all times.
  • To carry out any other duties and responsibilities that may be reasonably required.
Required Skills / Experience/ Personal Qualities:
  • Sound written and verbal communication skills
  • Maths and English GCSE A*-D or 9-4
  • Good interpersonal skills 
  • IT & keyboard skills 
  • Ability to work on own initiative and also as part of a team
  • Friendly
  • Professional Attitude
Prospects: To progress onto a Level 3 Advanced Apprenticeship
Training Involved: Apprenticeship – 12 month programme of work based learning where you will gain the following qualifications:
  • Level 2 Certificate in Business and Administration
  • Functional Skills English Level 1
  • Functional Skills Maths Level 1
  • Functional Skills ICT Level 1
  • Employer Rights and Responsibilities Workbook

Days/Hours: Monday to Friday, 9am-5pm with 1 hour lunch break.
