Role / Duties:

The main job purpose for the successful candidate will be supporting the Plant Department, helping maintain and update Plant related Database, recording details of plant and material transactions and ensuring paperwork is all in order.

Main responsibilities and objectives will include:

  • Operating all administration duties in accordance with Company Policies and Procedures.
  • Ensuring all telephone calls are answered in a timely manner and forwarded to the correct person, ensuring messages are taken and disseminated in accordance of importance.
  • Working as part of a team in building a successful customer relationship, striving to provide an efficient and competitive service to both internal and external clients.
  • Inputting of external hire contracts onto E-vision and Insphire systems, including invoicing as required.
  • Maintaining and update holiday calendar and forms for all personnel within the department, making sure holiday forms are authorised and signed off by the relevant person.
  • Use plant related programmes to produce various reports as requires including Insphire month end and revenue reports to ensure all costs have been accounted for and invoiced accordingly
  • Monitor Requisitions database to ensure that all items required from the Plant Department have been assigned and to ensure that any items required by the Plant Department are added correctly. Liaising with stores and inputting the correct costs.
  • Admin support to all areas of the Plant Department including Plant Hire, Transport Fleet, Stores, maintenance and workshops.
  • Book materials and plant on/off hire using Insphire software programme in conjunction with the materials and plant transfer sheet - cross referencing with the requisition database.
  • Support and mentor junior staff as required when sharing ideas and experience.
  • Promote and ensure BBS (Behavioural Based Safety) practices are used.
  • To carry out any additional duties and support within the department as agreed with your line manager. 
Required Skills / Experience:
  • Sound written and verbal communication skills
  • GCSE pass or equivalent in Maths 
  • Good interpersonal skills 
  • IT & keyboard skills 
  • Ability to work on own initiative and also as part of a team
Prospects: To progress onto a Level 3 Advanced Apprenticeship
Training Involved: Apprenticeship – 12 month programme of work based learning where you will gain the following qualifications:
  • Level 2 Certificate in Business and Administration
  • EDI Level 2 certificate in Principles of Business and Administration (5 units tested by multiple choice exams)
  • Functional Skills English Level 1
  • Functional Skills Maths Level 1
  • Functional Skills ICT Level 1

Days/Hours: 30 Hours minimum, Monday - Friday
