Role / Duties: To support the effective operation of the organisation by undertaking a range of administrative duties.
  • To respond to enquiries (by phone, email or in person) in a professional way, taking detailed file notes of conversations and transferring them to the relevant person.
  • To provide reception services for the building, directing enquiries to tenants as appropriate.
  • To open all incoming Planning Branch mail, except those addressed as private to the Director, and process it in accordance with the relevant procedure.
  • To distribute incoming mail for tenants of the building in an appropriate and timely manner.
  • To input data into relevant systems e.g. spreadsheets.
  • To produce letters and other documents in accordance with appropriate procedures.
  • To produce and issue invoices within the required timescales and in accordance with company procedures.
  • To maintain paper and online filing systems in accordance with company procedures.
  • To undertake photocopying and assist with the preparation of files, in accordance with relevant procedures.
  • To ensure documents are presented in an appropriate way e.g. binding of planning applications.
  • To arrange meetings as and when required.
  • To ensure operation of equipment (e.g. photocopier) by completing preventive maintenance requirements and calling for repairs where necessary.
  • To maintain adequate stocks of stationary and refreshment items, placing orders in accordance with company procedures.
  • To undertake any other reasonable duties as requested to by the director.
Required Skills / Experience:
  • Sound written and verbal communication skills
  • GCSE pass or equivalent in Maths 
  • Good interpersonal skills 
  • IT & keyboard skills 
  • Ability to work on own initiative and also as part of a team
Prospects: To progress onto a Level 3 Advanced Apprenticeship
Training Involved: Apprenticeship – 12 month programme of work based learning where you will gain the following qualifications:
  • Level 2 Certificate in Business and Administration
  • EDI Level 2 certificate in Principles of Business and Administration (5 units tested by multiple choice exams)
  • Functional Skills English Level 1
  • Functional Skills Maths Level 1
  • Functional Skills ICT Level 1
