Equal Opportunities Promotion and Monitoring Procedure (QP/06/01)

  1. Purpose

    To promote and monitor equal opportunities throughout the organisation to ensure that no group is put at a disadvantage, either directly or indirectly, deliberately or inadvertently.

    1. Promotion

      1. The Recruitment and Marketing Officer will promote Equal Opportunities through presentations to the Employers /Learners and School following the Employer Recruitment and Vetting Procedure (QP/04/02) and the Learner Recruitment and Selection Procedure (QP/04/01).

      2. All marketing promotion material will contain images that will promote multi cultures and non-gender bias.

      3. Prior to employer recruitment an in depth employers vetting will be done by the Recruitment and Marketing Officer following the Employer Recruitment and vetting procedure (QP/04/02).

      4. Employers will be given support, advice and guidance to help them develop clear policies and procedures for equality and diversity in the workplace.

      5. Tutors and Training Advisers will actively promote equality and diversity to learners and employers during reviews, on- and off-the-job training and during the assessment process following the relevant procedures.

      6. The Equal Opportunities Support Officer will cover Equal Opportunities at Induction following the Induction procedure (QP/04/05).

    2. Monitoring

      1. The WBL Health and Safety / Equal Opportunities Action Plan (RWP 1039) that the Recruitment and Marketing Officer completes following the Initial Employer Vetting Procedure (QP/04/02) is placed in the employers buff file and the Training Advisors will monitor to ensure actions meet agreed targets.

      2. All Learners will be asked to complete an application form (RWP 1201) and Equal Opportunities Form (RWP3302) to monitor gender, age, disabilities and ethnic origin following learners Recruitment and Selection procedure (QP/04/01).

      3. Upon receipt of each learner application, the Administrator will insert a black pin into the EO Tracking Map in the General Office representing the home address of each learner following receipt of the application.

      4. The Recruitment and Marketing Officer will enter the details from the application form onto the Connexions spread sheet.

      5. The Equality and Diversity Group will meet bi-annually and to review progress against the Equal Opportunities Implementation Plan and the SAR Quality Improvement Plan.

      6. During the first six weeks of training, all learners will complete an Equal Opportunities Appraisal in order to check their understanding of equality and diversity and the effectiveness of their employers policies and procedures relating to equal opportunities in their workplace.

      7. The Administration team will send out learner Quality Monitoring Questionnaire following the Learner/ Employers Feedback Procedure (QP/05/04) this also includes Equal Opportunities.

      8. The Centre Manager will evaluate all Quality Monitoring Questionnaires and discuss with the Programme Mangers any concerns and will decide on actions to remedy any problem areas.

      9. Training Advisors will complete reviews every 10 weeks following the review procedure (QP/04/08/), part of the review form is an Equal Opportunities questionnaire (RWP3302). Training Advisers should pass completed EO Forms to the Equal Opportunities Support Officer to monitor and take any follow up action as appropriate.

      10. The Centre Manager will collect data including Equal Opportunities information on the following areas, gender, ethnic origin, disability and rurality. This will be cascaded to all Programme Managers and Staff at the relevant meetings following the Data Security Procedure (QP/06/08). Data will also be collected and analysed on recruitment to ensure the process is fair and reliable.

      11. Complaints will be monitored following the Complaints Procedure (QP/06/02) and analysed by the Centre Manager and Equal Opportunities Officer and actioned as required.
